CRO, RBO and Revenue: who handles each filing?

Three authorities can appear in a new company’s checklist. Build a responsibility map that identifies the record, the receiving authority and the person handling it, so one completed filing does not hide another task.

Separate the destinations

CRO handles company filings such as the annual return; RBO maintains the central beneficial ownership register; Revenue manages tax registrations and returns. A document accepted by one is not a general confirmation that the other tasks are finished. Use the authority name alongside every task in the company’s administration plan.

Make the ownership of work explicit

Create a table in your own records with task, authority, preparer, reviewer, submitter, date and evidence of completion. Ask each provider to confirm the work they actually undertake. An accountant, formation service and secretary may all help the company, but their presence does not prove any particular filing is included in their engagement.

Treat a change as a review trigger

A new director, ownership transaction, address change or change in activity may prompt more than one question. Ask the relevant advisers what needs updating and where. Do not assume that changing a company record sends every related notice automatically. For example, a share transaction should include an ownership-record review as well as the transaction documents.

Track the outcome rather than the attempt

Keep submission acknowledgements and query responses with each task. Use statuses such as awaiting information, ready for review, submitted and confirmed. If a provider reports a rejection or missing information, return the task to an active status. This simple discipline gives the director a clearer picture than a calendar where every deadline disappears after someone clicks submit.

Your practical checklist

  • Label every task with its receiving authority
  • Confirm each provider’s agreed scope
  • Name a reviewer and submitter
  • Store confirmations and answer queries
  • Review connected records whenever circumstances change
