Start with the formal decision
CRO guidance requires a special resolution, Form G1Q and an amended constitution for a name change. The change takes effect through the new certificate. Ask the person responsible for company filings to confirm the current requirements and the company’s filing position before setting a public launch date for the new name.
Keep the old and proposed names distinct
Use the existing legal name for the current company and clearly label the proposed name in planning documents. Search the proposal before commissioning new material. A draft resolution or application is not the final approval. Make your rebrand timetable flexible enough to accommodate a query or a different acceptable name without confusing customers.
Build an operational update list
List the bank, insurer, accountant, payment provider, major customers, suppliers, website and standard documents that may need updating. Ask each provider what evidence they require rather than sending an announcement and assuming their records will change. Use the approved certificate as the reference when carrying out the handover. Keep a record of completed updates.
Explain continuity clearly
A customer may worry that a new invoice name means a different supplier. Prepare a short explanation of the approved change and provide verification through your established contact channel. Be especially careful with requests to change bank details: customers should be able to confirm those independently. Avoid combining a rebrand with an unexplained payment-account change if that will make verification harder.
Your practical checklist
- Confirm resolution, form and constitution requirements
- Wait for the effective approved name change
- Collect provider-specific evidence requirements
- Coordinate website, contracts and operational records
- Give customers a reliable verification route
