Create a master instruction sheet
CRO incorporation requires company, officer, subscriber and business-activity information. Organise your preparation under those headings. Give the sheet a version date and nominate one person to coordinate corrections. If three founders email separate updates, the coordinator should reconcile them before sending a final instruction rather than expecting the provider to guess which message is authoritative.
Use a consistency review
Check spellings, addresses and share instructions against the records each person is using. Read the proposed legal name aloud and compare it across the instruction sheet and draft documents. Small differences can matter in an official filing. Keep alternatives for the name in a separate field so they cannot accidentally become competing versions of the same application.
Separate ordinary instructions from sensitive evidence
Use the public enquiry form for a description of your setup and questions about scope. Ask the team which secure process to use for identity numbers and evidence. The DPC’s principles include data minimisation and security. As a practical precaution, avoid circulating passport copies among all founders when only the designated verification process needs them.
Review the assembled application together
Before signing, ask each officer to review their own details and each shareholder to review the ownership instructions. Record unresolved points in a short questions list. For example, an address awaiting confirmation should be labelled pending rather than filled with a convenient temporary address. The final sign-off should be based on a complete, consistent pack, not on scattered email attachments.
Your practical checklist
- One dated instruction sheet and coordinator
- Confirmed legal-name preference and separate alternatives
- Agreed officers, address, activity and shares
- Sensitive evidence sent only through the agreed channel
- Final review by the people whose details are included
