Before paying your first employee: a payroll preparation plan

Arrange payroll before the first payday. A clear workflow lets the employer gather information, review the calculation and report the payment without rushing through the process after wages have been sent.

Put registration and reporting on the plan

Revenue requires payroll details on or before payment and describes the employer’s tax responsibilities. Ask the payroll adviser to confirm the employer registration and employee setup needed. Treat an employment start date, payroll processing date and payment date as connected facts that must be supplied accurately.

Collect information through the right process

Ask the payroll provider for the information it needs and how to supply it securely. Keep employment terms and payroll instructions consistent. If hours, pay or benefits are not yet settled, resolve them before processing. Sensitive employee information should go to the people who need it, not to an open staff spreadsheet or public enquiry form.

Agree the review and payment workflow

Decide who sends the payroll inputs, who reviews the result and who authorises the payment. For example, the manager can confirm hours before the adviser calculates payroll; the director then reviews the approved payment list. Build time for corrections into the schedule. A software account alone does not establish these responsibilities.

Plan recurring and exceptional payments

Ask how bonuses, benefits, expenses, departures or unusual payments should be communicated. Do not improvise a separate transfer and assume it can be explained later. Store the payroll outputs and reporting evidence in the appropriate records. Review the first cycle with the adviser so missing information or timing problems are corrected before the second payday.

Your practical checklist

  • Confirm employer and employee setup
  • Supply agreed pay information securely
  • Schedule reporting on or before payment
  • Assign input, review and payment responsibility
  • Agree the process for changes and unusual payments
