Check the source record
CRO identity validation uses the relevant PPSN or IPN records, including name and date-of-birth matching. Ask each person to check their own details against the applicable record. Do not silently replace the recorded name with a preferred spelling because it looks better on the instruction sheet. Raise a mismatch with the team before submission.
Agree who needs what
Identify the person or secure service receiving the evidence and ask what is required for the specific process. The DPC’s principles support limiting information to what is necessary and protecting it appropriately. Keep full identity evidence out of public enquiry forms, broadly shared folders and ordinary marketing discussions. A short setup description is enough for an initial scope question.
Use a discrepancy list
For example, a founder’s everyday surname may differ from the one on an older record. Record the issue as a question to resolve, without distributing the complete identity number to everyone. The team can explain the applicable correction or verification route. Do not attempt to bypass a validation issue by entering an invented value or another person’s number.
Close the handover carefully
Once the collection process is complete, keep only the records you are entitled and required to retain. Ask about access, storage and retention rather than assuming that every founder should keep a duplicate passport file. Record the status of the identity task in the formation checklist without exposing the sensitive data itself.
Your practical checklist
- Confirm the applicable PPSN or IPN route
- Check names and dates against the relevant record
- Use the team’s agreed secure collection process
- Limit copies and access to what is necessary
- Track completion without publishing identity details
